Little Geniuses (“Little Geniuses”, “we”, “us” or “our”) provides online tutoring, exam preparation, and holiday camp services to primary and secondary school students across Australia, including programs for HSC, IB, VCE/QCE/OC/Selective/ ICAS and entrance/scholarship exam preparation, among others.
We are committed to protecting the privacy of our students, parents and guardians, contractors, tutors, job applicants and website visitors. This Privacy Policy explains how we collect, hold, use and disclose personal information, and how you can access or correct your information or make a complaint.
This Policy has been prepared in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). It applies to personal information collected through our website (www.littlegeniuses.com.au), enrolment and registration forms, tutoring sessions, email, phone, and any other interaction you have with us.

2. What Personal Information We Collect
Depending on your relationship with us, we may collect:
Contact and identity information - names, email addresses, phone numbers, postal addresses, and dates of birth of students and parents/guardians.
Student education information - current school, year level, subjects, academic goals, assessment results, ICAS/exam history, and tutoring progress notes.
Sensitive or health information - where relevant and provided voluntarily, information about a student's learning needs, disabilities, or additional support requirements, to help us match students with an appropriate tutor and program.
Payment and billing information - billing name and address, and payment details processed through our third-party payment provider (we do not store full credit card numbers ourselves).
Communications - records of emails, phone calls, enquiry forms, and messages sent through our website or Contact page.
Session information - where lessons are delivered via video conferencing, this may include session attendance, and, where a session is recorded for quality or teaching purposes, the recording itself (we will notify you if sessions are recorded).
Website and technical information - IP address, browser and device type, pages visited, and cookies (see Section 6 below).
We do not knowingly collect more personal information from children than is reasonably necessary to provide our tutoring services, and account registration is completed by a parent or guardian, not the child.
3. How We Collect Personal Information
We generally collect personal information directly from you or your parent/guardian, through:
our website enquiry, registration and “Register Interest” forms;
email, phone calls, and our Contact page;
enrolment and assessment forms completed before a program begins;
during tutoring sessions and progress reviews; and
cookies and analytics tools when you browse our website (see Section 6).
Occasionally we may collect information from a third party — for example, a school or previous tutor — but only where you or your guardian has authorised this, or it is otherwise permitted by law.
4. Why We Collect, Use and Hold Personal Information
We use personal information to:
assess a student's learning needs and match them with a suitable tutor and program;
deliver tutoring sessions, holiday camps, and exam preparation programs;
track and report on student progress to parents/guardians;
process enrolments, invoices and payments;
respond to enquiries and provide customer support;
send program updates, newsletters, and (with your consent, where required) marketing communications;
improve our website, programs and services; and
meet our legal, accounting, insurance and regulatory obligations.
We will only use sensitive information (such as information about a learning difficulty) for the purpose it was provided, unless you consent to a broader use or the law requires or permits otherwise.
5. Disclosure of Personal Information
We may disclose personal information to:
our tutors and staff, on a need-to-know basis, so they can deliver tutoring effectively;
service providers who help us run our business, such as website hosting (Squarespace), payment processors, email/communication platforms, video-conferencing providers, and IT support;
professional advisers, such as our accountant or lawyer, where necessary;
government or regulatory bodies, where required or authorised by law; and
a purchaser, if Little Geniuses is involved in a business sale, merger or restructure.
We do not sell personal information to third parties, and we do not disclose student information to third parties for their own marketing purposes.
Please confirm the specific tools you use — e.g. Zoom/Google Meet for sessions, Stripe/Squarespace Payments for billing, Mailchimp/Klaviyo for email — so these can be named specifically, along with links to their own privacy policies.
Overseas disclosure
Some of the service providers referred to above (for example, cloud hosting, video-conferencing or email platforms) may store or process personal information on servers located outside Australia, including in the United States. Where this occurs, we take reasonable steps to ensure these providers protect personal information consistently with the Australian Privacy Principles.
6. Cookies and Website Analytics
Our website uses cookies and similar technologies (including Google Tag Manager/Google Analytics) to understand how visitors use our site and to improve our content and services. Cookies may collect information such as your IP address, browser type, pages viewed, and time spent on our site.
You can disable cookies through your browser settings; however, this may affect the functionality of our website. We do not use cookies to collect sensitive information about children.
7. Direct Marketing
With your consent (or where otherwise permitted by law), we may send you information about our programs, holiday camps, and promotions by email or other means. You can opt out of marketing communications at any time by using the “unsubscribe” link in our emails or by contacting us using the details in Section 11.
8. Data Storage and Security
We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure, including:
restricting staff and tutor access to personal information on a need-to-know basis;
using secure, password-protected systems and reputable third-party platforms for website hosting, payments and communications;
storing physical records (if any) securely; and
reviewing our data handling practices periodically.
No method of electronic storage or transmission is completely secure, and we cannot guarantee absolute security. If we become aware of a data breach that is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) in accordance with the Notifiable Data Breaches scheme.
9. Retention of Personal Information
We retain personal information only for as long as necessary to provide our services, meet legal or regulatory requirements, and resolve disputes. When information is no longer needed, we will take reasonable steps to securely destroy or de-identify it, unless we are required by law to retain it for longer.
10. Access and Correction
You (or, in the case of a child, their parent or guardian) may request access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date, incomplete, or misleading. To make a request, contact us using the details in Section 11. We will respond within a reasonable time and may need to verify your identity before providing access. In some circumstances permitted by law, we may decline a request, and if so, we will explain why.

12. Children's Privacy
Our services are designed for primary and secondary school students, and we recognise the additional care required when handling children's personal information. Accordingly:
account registration, enrolment, and payment are completed by a parent or guardian;
we collect only the information reasonably necessary to deliver tutoring services matched to the student's needs;
we do not use children's personal information for direct marketing to the child; and
parents/guardians may access, correct, or request deletion of their child's information at any time by contacting us.
